Sustainability Policy

Facilitating sustainable development in an equitable manner is central to our business activities. As a small company with limited physical, energy and resource footprint and simple value chain, it is through our consultancy work that we can have the greatest positive impact.  This policy sets out how we will strive towards continuous improvement with regard to all three pillars of sustainability. 

Social  

We will always give due regard to social impacts of our decision-making including equalities considerations during the course of our client engagements and through our pro bono activities as part of Emanate Impact. 

We will deliver one project free of charge annually, which will be chosen through a mini competition with call for entries from community-based/grass roots organisations. The terms of the competition will be displayed on our website and preference will be given to projects that would deliver the most positive outcomes to the local community and environment. 

We support inclusion and have zero tolerance for bullying, racism and any other abusive and intolerant behaviours. We comply with all health &safety legislation and policy that is relevant to small businesses within the United Kingdom. 

We operate a flexible working policy with staff scheduling work to prioritise client and project deadlines, their responsibilities and interests outside of work. We believe that this maintains a high level of responsiveness, delivery and health and wellbeing. 

Economic

We believe that environmentally robust and sustainable development is integral to economic growth. We strive to provide advice that will support our clients' commercial objectives alongside that of the community in which a project is located and the UK as a whole. 

As set out above, we will deliver one pro bono project annually as part of Emanate Impact whereby we will not charge professional fees for our work. We may need to claim expenses such as travel and data purchase and will always make this clear at the competition stage. 

Through our school support and advocacy for young professionals, we will indirectly contribute to increasing the chance of economic wellbeing and livelihoods for the next generation of the workforce.

Environmental

We minimise work travel as far as possible with public transport or Electric Vehicles (EV) with electricity sourced from 100% renewable energy tariffs used to travel to internal meetings. Train is the preferred mode of transport for project meetings, with travel by EV undertaken where train is not possible or where costs are prohibitive. 

Home offices are powered by energy procured through 100% renewable tariffs, with smart meters enabled and electronic devices, heating and hot water programmed to take most of their energy during off peak periods (which is usually when the overall grid has the lowest carbon intensity). One property is fitted with an air source heat pump (AHSP) and is not connected to the gas network. The other is heated by a high efficiency gas boiler, which is pending replacement with an AHSP. All lights are high efficiency LED and are switched off when not in use.

We seek to minimise waste, with mobile phones and laptops being refurbished models. Our paper consumption is minimal with most of our work being electronic. Whilst IT infrastructure and cloud data storage is energy intensive, we minimise impact through the use of 100% renewable energy tariffs.

Review and Reporting

We commit to reviewing this policy, updating it as required and reporting on progress annually. 

As an SME we are exempt from Streamlined Energy & Carbon Reporting (SECR) that is mandatory for listed companies and large unlisted companies and partnerships. However, we will seek to establish a baseline position from April 2026 – April 2027 such that we will be able to measure performance voluntarily thereafter.

How long we keep information

Personal data is retained only as long as necessary:

  • Customer records: typically 6 years (aligned with HMRC requirements)

  • Marketing lists: until consent is withdrawn

  • Project files: based on operational need and contractual terms

When no longer required, data is securely deleted.
